UI NOTE: The following parameters are collapsed by default. When the check box is selected, additional parameters will be displayed.

Types tab parameters

Type parameter – Code

Code – A new code may be created, or an existing one edited. This description is displayed for fast data entry and look-ups where space is limited on the forms. This parameter holds the English Short Description, the default name. There is an expand button on the left hand side of this parameter that will provide access to additional naming parameters. (Max. 15 alphanumeric code). The Code value is unique and entering a duplicate will display an error state.

NOTE: The following naming parameters are not required, but it is recommended as they can be useful in clarifying the meaning of the Code.

Short Description – This field is automatically populated by the entry made in the Code field. This short description is displayed for fast data entry and look-ups where space is limited on forms.
Long Description – Enter a long description. This is displayed on look-ups, forms and reports.

CONVERSION NOTE: Govern for Windows users that are performing conversions to Govern for OpenForms should note that Departments can have duplicates in Kinds and Categories but the same Department may not have a duplicate Code.

Kind – This is the classification of activity; for example in the instance of a Permit the Kind could be Building Permit, Electrical Permit, and so on. Note that when the Kind is changed, the Category list is updated and re-filtered. When the Kind is completely removed, any Category can be selected; when the category has been selected, the corresponding Kind is selected.
Category – This is a sub-classification of the Kind, e.g. for a Permit the category could be Building, Electrical, Plumbing, and so on. When no Kind has been selected, and only the category is selected, the corresponding Kind is selected.
AR Class default – Click to select the AR Class that will be associated with this record.
History – Select History to set the selected type to History mode.
Allow Quick Data Entry – Select this option to display the user-defined fields on a secondary screen when you select the type; only the field used in the fees calculation are displayed.
Allow reuse of this Workflow type (Allow Multiple Type) – this option will check to see if there are other workflows of the same type and allow their reuse.

NOTE: There are three options related to controlling the use of duplicate types; there are provisions to, allow/prevent, display a warning, and block additional types; their locations are listed as follows:
1. Workflow group > Departments > Workflow Department (tab) > Types (sub-tab) >Allow reuse of this Workflow Type – This option will allow/prevent the reuse of the current type as a duplicate type.
2. Workflow group > Departments > Workflow Department (tab) > General (sub-tab) >Display a Warning for a duplicate Type – Displays a Yes or No type warning to allow a duplicate type.
3. Workflow group > Kind and Categories > Workflow Kind (tab) > Categories tab > General (sub-tab) >Allow Additional Types – This option will, in general, allow additional types. This option will block the use of additional types.

WM Form – Additional Types

Workflow Management Form – Additional Types

Version 6.1 (In Development)

Overview

When there is a business requirement to allow multiple types on a single workflow , Category Allow Additional (Multiple) Types is checked, the Workflow Form will contain an additional separator or business entity for Workflow Additional Types. For example on a property base workflow record for a building permit, users may want to add sub-types required for this permit like foundation, rough-in, electricity, plumbing, etc. Otherwise, different workflow records will be created for each.

Additional Type Form Entity

This form entity (tab seperator) contains the Additional Type Controller (Combo box for selection) and the Category added fields.

Additional Type(s) Selection

When creating a new workflow record, the user will select the additional workflow types to include with the main workflow.
This controller WM_Additional_Types_Controller was designed with the following principals:

  • The controller is used for a Workflow Open Form which allows additional types.
  • It must be set for the secondary entity, i.e. the one that manages the additional types.

Fields (Columns) Displayed

The fields normally showed on this form entity are the Category User Added Fields.

  • These fields can be setup in groups that will be enabled (visible) or disabled (invisible) with an expression based on the workflow type. For instance, if Type = Plumbing, display only the plumbing related category added fields, if Type =Electrical, display only the electrical related category added fields, etc.

Presentation in Govern

When the Open Form is initialized, for the entity that manages the types, the form will be presented in the following manner:

  • The Additional Type(s) Combo Box selection is available on NEW
  • The Form Entity New button is not visible
  • The Form Entity Delete button is not visible
  • The following attributes are Read Only:
    • WM_ID
    • TYPE_CODE
    • IS_MASTER
    • LAST_MODIF_UID
    • LAST_MODIF_DATE

When additional types are added to the same Workflow record, they will be indicated on the mini-browse indicator that is on the tab of the form (See OpenForms Designer Configuration).

Overview

The Govern OpenForms product suite provides the flexibility required for setting up and running batch processes. With key applications users can:

  • Customize the list of batch processes that appear in Govern.
  • Add as many or as few batch processes as are required for your organization.
  • Set the transaction type and mode.
  • Add automatic e-mail messaging.
  • Add reports or attachment.
  • Define a network path or FTP site for saving or uploading the attachment.
  • Set up schedules to run processes at a later time or on a regular basis.
  • Apply security so that only authorized users can view certain batch processes.

With the Scheduler Console, you can:

  • Monitor and track your Govern batch processes in one central location.
  • View the progress of batch processes as they run.
  • Modify or delete any scheduled process or process history to which you have access permissions.
  • View logs and details on previously-run batch processes.
  • View reports generated from previously-run processes.
  • Monitor the Govern Scheduler Services

Overview

The Govern Business Entity Designer (BED) is used for setting up the business models, entities, and attributes for the data entry forms in Govern.
The business models contain the business entities. These are mapped to tables in the database. The attributes are mapped to columns. The business models become the user forms in Govern. The entities become the dividers within a form and the attributes become the data entry fields.

In the Business Entity Designer (BED) you can:

  • Build and maintain all the business models for your deployment from one central location.
  • Select the connection key for the deployment.
  • Perform data mapping
  • Create relationships between business models and between business entities
  • Add centralized notes
  • Add queries
  • Add calculated fields
  • Create validation rules

What’s New

A new Encryption Mode is included for ACH and other sensitive data in Govern OpenForms v6 and above. This mode uses TripleDES encryption. In Govern for Windows, there are two encryption modes, now labeled Legacy3 and Legacy5. The recommended versions are as follows:

  • If you are running Govern OpenForms v6.1 and above, TripleDES is used for all encryption. Select this mode for all encrypted values.
  • If you are running Govern OpenForms v6 and to remain backwardly compatibles with Govern for Windows, you need to use either Legacy3 or Legacy5 encryption.

The IsEncrypted property in previous versions of the Business Entity Designer is now named Encrypted Mode. IsEncrypted had two values, True or False.
Encrypted Mode has the following values:

  • None: This is the default for most attributes.
  • TripleDES: Select this option if you are running Govern OpenForms v6.1 or higher.
  • Legacy3: This is the default encryption in Govern for Windows for ACH Information. Select this encryption mode if you are running Govern OpenForms v6 and need to remain backwardly compatible with Govern for Windows.
  • Legacy5: This is the default encryption in Govern for Windows for all other sensitive information in Govern for Windows. Select this encryption mode if you are running Govern OpenForms v6 and need to remain backwardly compatible with Govern for Windows.
